Hybrid Work Application Process

Our Hybrid Work Authorization Process (HWA) outlines the steps required to request, review, and approve a hybrid work application, ensuring alignment with individual performance, departmental effectiveness, and institutional excellence. Its purpose is to encourage accountability, uniformity, and transparency among all units when consider an application for an HWA. 

Hybrid Work Process Flow: Employee Request

1. Employee Request

  • Action: Employee submits a Hybrid Work Request to their manager via Workday (WD).

2. Manager Review

  • Action: Manager reviews the Hybrid Work Arrangement (HWA) and completes Rubric.
  • Decision Point: Does the manager support the request?   
    • Yes → Manager approves request. Proceed to Department Head Review.
    • No → Request is denied. Process Ends.

3. Department Head Review

  • Decision Point: Does the Department Head support the request?
    •   Yes → Proceed to EC Member review.
    •   No → Request is denied. Process Ends.

4. EC Member Review

  •  Decision Point: Does the EC Member support the request?
    •  Yes → Proceed to HR and Documentation
    •  No → Request is denied. Process Ends.
  • Action: EC member or delegate updates managers and/or staff

5. HR and Documentation

  • Action: HR Partner will review HWA within Workday and report on approved submissions.
    •  Employee receives notification via Workday.

6. Leadership Engagement

  •  Action: Leadership/manager meets with staff to:
  1.   Specify work parameters.
  2.   Ensure compliance.
  3.   Future Action: Review agreement for updates, reapplication, or arrangement termination as needed.

Hybrid Work Process Flow: Department Request

1. EC Member reviews reporting departments

  • Decision Point: Does the EC Member have departments that need a blanket request?
    • Yes → EC member to discuss request with PVP member (to garner support).
    • No → No need to apply.
  • Action: If supported, complete Hybrid Work Request Plan for submission to the PVP representative for review, as well as submits to HR Partner

2. PVP Review

  • Action: PVP reviews the request.
  • Decision Point: Does the PVP support the request? Can Manager / EC Member change / adjust content in rubric?
    • Yes → Manager/EC Member revises rubric assessment (if needed). Proceed to HR and Documentation (if approved).
    • No → Request is denied. Process Ends.

3. HR and Documentation

  • Action: HR Will create a file for upload in Workday and confirm with Department. HWA will be uploaded to Workday.

      →  Proceed to Updating managers/staff

4. EC Member updates departments

  • Action: EC member or delegate updates managers and/or staff on Hybrid Work Request Plan.

5. Leadership Engagement

  • Action: Leadership/manager meets with staff to:
  1. Specify work parameters.
  2. Ensure compliance.
  3. Future Action: Review agreement for updates, reapplication, or arrangement termination as needed.
