Protecting your personal information

Privacy Policy for the University of Cambridge alumni and development websites and all their subdomains (‘our/the site’) at alumni.cam.ac.uk, campaign.cam.ac.uk, and secureca.imodules.com

1. How you can use the password protected area of the site

Personal Information

Your ‘Account’ is where you can enter, manage and update your data and email preferences. You may also choose to provide optional details, such as maiden name, nickname, occupation, company, partner's name, photos, personal web page, personal comments, etc.

You may wish to share some or all of the information held in your Account with other site members. In time you will be able to do this via your ‘Public Profile' page. The only information that is automatically displayed on your Public Profile page when the directory functionality becomes available will be your preferred name, surname or maiden name, matriculation year and College. Additional information fields from your Account, plus comments, other personal information and photos etc, will appear only if you have opted to provide those items. You will be able to manage this via the 'Update My Public Profile' section, by clicking on the pencil icons by your information. Currently no other members of the password protected site are able to view your details.

Public Forums

This site makes chat rooms and message boards available for every group featured on the site. Your first name/preferred name and last name will be displayed during chat sessions or when you post something in the message boards. This site does not monitor the chat rooms unless we receive a request to do so by a member via emailing [email protected].

Any additional information you choose to submit in these areas may be considered public. To protect yourself from unwanted spam or other unsolicited or unwanted communication, you are advised against providing personally identifiable information, including e-mail addresses, postal addresses and phone numbers.

Photo Albums

Photo Albums allow you to upload and share your pictures with your friends and fellow users. You can also personalise your album by writing captions for each picture. Please remember that photos too must conform to our Acceptable Use Policy.

Sharing information within the alumni website

The general online directory is designed so you can find other alumni easily. For this reason, once the online directory is live you will appear in the directory with the information described in the Personal Information section (above). If you do not want to appear in the directory you can opt out upon registration or by accessing your Account. Eventually you will also be able to select the appropriate controls in your Public Profile section. You can also choose to share or hide other personal and contact information.

Choice

The site provides you with the following options when you first register as a user and can be changed at anytime thereafter:

  • to receive updates about this site and the groups you are registered with or to unsubscribe
  • to opt out of receiving emails from other site users by means of a checkbox in your Account (the default is that other users can use the website to send you emails, though your address will never be revealed to the sender until you reply)
  • to state what email updates, e-bulletins etc. you want to receive via your Account (under My Email Preferences).

Please be aware that even if you choose not to receive the update emails, we may still send you service emails about use of the site.

Full Opt-out

If you wish to opt out of the online system, please visit our FAQ pages. Please be aware that if you fully opt out, you will not receive e-bulletins. We plan to increasingly send communications via email, so you may miss out on future notifications if you fully opt out, e.g. event notifications. Please note that your details will still be held on the main alumni database in accordance with our Data Protection Statement unless you notify us otherwise.

Personally Identifiable Information

To help confirm your identity, this site's registration process may require you to provide authentication (such as your full name, address, email address, password, first College, a University-provided ID or number, date of birth, gender, city, province/state, country and/or postal/zip code).

This site uses cookies – small text files that are placed on your computer by websites that you visit. These are widely used in order to make websites work, or work more efficiently, as well as to provide information to the owners of the site. Cookies also allow websites to respond to you as an individual.

Crazy Egg

This site also uses the Crazy Egg service to record the location of individual clicks on the website. This information is used to identify the most heavily clicked areas of the website, but also where users expect to be able to click. Using this information we have already been able to make a number of usability improvements to our site, and we will continue to do so in the future. Click data is recorded anonymously. 2. How we may use your information

Service Management

We use the information we collect to provide services and features to you, to measure and improve those services and features, and to provide you with customer support. We may use the information to prevent activities which might breach the conditions of use of our site. We also use a variety of technological systems to detect and address anomalous activity and screen content to prevent abuse such as spam. This may on occasion result in a temporary or permanent suspension or termination of some functions for some users.

Suggesting services

Unless you have told us otherwise, we may use your information to make suggestions that may be of interest to you. For example, if you do not supply a @cantab.net email address, we may suggest that you sign up for your email for life. Any suggestions will be from the University of Cambridge or those who supply our services and administered by Development and Alumni Relations.

Site activity

The online system records some of the actions you take when you interact with the alumni site such as adding connections (including joining a group or adding a friend), creating a photo album, making a donation, or attending an event etc. We might log these actions for example when you provide information or content to us or share a video. When you access the alumni site from a computer, mobile phone, or other device, we may collect information from that device about your browser type, location, and IP address, as well as the pages you visit.

3. How we protect your information and credit card transactions

We use technical and organisational security measures to keep your information secure. This site utilises industry standard Secure Sockets Layer (SSL) servers to encrypt your information to any online financial transactions, if you choose to use our site for this purpose. These transactions are managed by specialist contractors. Shortly after a purchase or refund is processed, you will receive a confirmation via email. You are advised to print out and save a copy of the order confirmation for verification necessary to request refunds or resolve any disputes.

But bear in mind that there are risks inherent in sharing information. Although we allow you to set privacy options that limit access to your information, please be aware that no security measures are perfect or impenetrable. We cannot control the actions of other users with whom you share your information. We cannot guarantee that only authorised persons will view your information. We cannot ensure that information you share will not become publicly available. We are not responsible for third party circumvention of any privacy settings or our security measures. You can reduce these risks by using common sense security practices such as choosing a strong password, using different passwords for different services, and using up to date antivirus software.

4. How we share information

The password protected area of the site is partly about sharing information with others while providing you with settings that you can use to restrict other users from accessing your information. We share your information with third parties in accordance with our Data Protection Statement.

Facebook Connect

For those of you with a Facebook account, in time your alumni log in and Facebook identity can be easily connected with a single login option. If you choose to set up Facebook Connect, you must manually authorise the site to receive your Facebook credentials and allow access. The only piece of data shared between the site and Facebook is the Facebook ID, used for matching the two accounts. You can revoke this permission at anytime.

If you choose to enable this feature, future logins to the site can be done via a Facebook login. If you are already logged into Facebook when visiting the site, you will be automatically logged in.

You will also have the option to publish certain activities on the site eg signing up to an event, posting to your Facebook newsfeed.
