NSTA Exhibitor Workshop

Invite your current and potential customers to learn more about your best products and unique expertise through NSTA’s Exhibitor Workshops. Popular with attendees, workshops draw strong attendance year after year. These face-to-face seminars—held in an intimate classroom style or large theater style room—are an increasingly popular way for exhibitors to make a big impression.

How to Conduct an Exhibitor Workshop

All organizations submitting proposals to sponsor a workshop at either NSTA's National, or one of our Area Conferences, MUST rent booth space on the exhibit floor. If you already have submitted an Application & Booth Contract, and want to submit an Exhibitor Workshop Proposal, you can:

Exhibitor Workshop Rates

The basic fees for Exhibitor Workshops are as follows:

2008 NSTA National Conference,
Boston, MA:

  • $875 for one assigned workshop
  • $825 for two or more assigned workshops

For workshops which are more than 90 minutes or require space for in excess of 120 teachers, workshop fee may involve special pricing.

Deadline for Exhibitor Workshop Proposal Forms

2008 National Conference

The deadline for Exhibitor Workshop Proposals for the 56th Annual NSTA National Conference in Boston is September�17, 2007. Exhibitor Workshop Proposals received after that date are not guaranteed a listing in the Final Program and are scheduled on a first-come, first-served basis.

2008 Area Conferences

All Exhibitor Workshop Proposals for the 2008 NSTA Area Conferences are due July�15, 2008, to guarantee listing in the Final Program. Exhibitor Workshop Proposals received after that date are not guaranteed a listing in the Final Program and are scheduled on a first-come, first-served basis.

Eligibility

Workshops will be strictly limited to companies exhibiting at that conference, e.g., an exhibit in Detroit would not serve as eligibility for a workshop in Denver or Birmingham.

What You Get with an Exhibitor Workshop

  • A room available for up to 90 (national conference) or 75 minutes (area conferences)
  • Your choice of theater or classroom-style seating
  • Classroom-style setup consists of six-foot tables and a speaker’s table
  • Theater-style setup consists of podium
  • A sign featuring your company’s name outside the workshop room
  • Directional signs from the Exhibit Hall to the area of the workshop rooms
  • Listings in the final program: (if workshop submission is received before publishing deadline)
  • A chronological listing including full session description and presenter’s name
  • An alphabetical listing by company name, with booth number, workshop title, time, and room number

Audiovisual

All audiovisual needs must be made by the workshop sponsor independently of NSTA. Forms for audiovisual equipment will be included in your exhibitor service kit.

Confirmation

Approximately eight weeks prior to the respective conference, each company holding an Exhibitor Workshop will receive written confirmation of their workshop location and time. Upon receipt, each exhibiting company must sign the confirmation and return to the exhibits office for listing in the final program.

What is the Difference between an Exhibitor Workshop and a Conference Session or Workshop?

Exhibitor workshops provide an opportunity for exhibiting companies to promote and/or sell a product and/or service. Such workshops are available only to those organizations that exhibit in that particular conference. Likewise, any organization that exhibits has the right to present an exhibitor workshop, provided space is available. Workshops are typically 90�minutes in length at the national conference and 75�minutes at area conferences.

Other conference sessions and workshops are opportunities for science educators to present to their colleagues. These presentations offer teachers an opportunity to share their own teaching experiences. Teacher-submitted presentations are noncommercial and are reviewed by a program committee in order to be scheduled into a conference program. Session proposals deemed commercial in nature are reviewed by a program committee and forwarded to the exhibits office for review.�

All services customarily required by exhibitor workshop participants will be available. Complete shipping instructions and information regarding furniture and carpet rental, electrical work, plumbing, drayage, and labor will be mailed to those assigned workshop space. Cancellation

2008 National Conference

Preliminary cancellation deadline is October�2, 2007, for the Boston National Conference. For cancellations postmarked after this date, a fee of $500 per workshop will be assessed. Notice of cancellation must be in writing and postmarked no later than 60 days prior to the opening conference date to obtain a refund. Cancellation within 60 days prior to the opening conference date obligates the workshop sponsor to full payment of the workshop fee.

2008 Area Conferences

Preliminary cancellation deadline is July�2, 2008, for Area Conferences in Charlotte, Portland, and Cincinnati. For cancellations postmarked after this date, a fee of $500 per workshop will be assessed.
